Privacy notice
Last updated 25 September 2026 · Pharoah Technology Ltd
In short. There is no account and no sign-up. You can use ProposalForge without telling us who you are. If you ask for early access, we keep the contact details you give us so we can reply. We don't set cookies for visitors, and there is no advertising or third-party tracking. What you type into ProposalForge is sent to an AI model provider to produce your result. We don't keep a copy of it.
Who we are
ProposalForge (proposalforge.pharoahtechnology.com, proposalforge.pharoahtechnology.co.uk) is provided by Pharoah Technology Ltd, company number 17220127, registered office 71–75 Shelton Street, Covent Garden, London WC2H 9JQ, United Kingdom. We are the controller of the personal data described here. For any question about your data, or to use your rights, email info@pharoahtechnology.co.uk.
What ProposalForge does
ProposalForge drafts client proposals from a short brief.
What we collect, why, and for how long
- What you enter. To produce your result, ProposalForge uses the brief you enter, such as your client's name, the project and your pricing. It is sent through our AI gateway to a large-language-model provider, which generates the text and returns it to your browser. ProposalForge does not store your input or the result. Our gateway records usage details such as the time, the model used and the amount of text processed, for billing, capacity and abuse prevention. Model providers may keep API requests for a limited period under their own policies, for example to detect abuse; we don't send them your name or contact details. Our lawful basis is our legitimate interest in providing the service you ask for.
- A daily free-use counter. Free use is limited each day. To enforce the limit, we count uses against a key made of the product name, your IP address and the date. The counter is used for nothing else and is deleted within two days. Our lawful basis is our legitimate interest in keeping the free tier available and preventing abuse.
- Payments. If you buy a paid plan, you pay on Stripe's checkout page. Stripe collects your payment details, email address and billing information; we never see your full card number. When you return, we read the checkout session from Stripe to confirm the payment and activate your plan. Stripe also notifies our payment ledger, where we record the product, the amount, the date, your Stripe customer reference and your email address, so that we can support you and keep accounts. We keep payment records for as long as the law requires us to keep accounting records, currently six years. Our lawful bases are performing our contract with you and our legal obligations.
- Your licence. A paid plan is unlocked by a signed licence that your browser keeps in its local storage, not in a cookie. It holds the product, the plan, an expiry date and a random licence number. It does not contain your name or email address. Clearing your browser's site data removes it.
- If you ask for early access. The early-access form sends the name, email address, company and message you enter, with your browser's user-agent string, to our leads database. We use them only to reply to you and to follow up about ProposalForge. We keep them until you ask us to delete them, and for no longer than 24 months after our last contact with you. Our lawful basis is our legitimate interest in answering your request.
- Technical data. Our hosting provider, Cloudflare, processes your IP address and request details to deliver the site and protect it from attacks. These logs are kept briefly under Cloudflare's own retention.
- Information about other people. What you enter may include details about your customers or other people. Enter only what is needed for the message you want, and only if you are entitled to use it. You remain responsible for how you use those details and for the messages you send.
Who processes it for us
- Cloudflare hosts and delivers the site.
- Our AI gateway, hosted on Railway, forwards your text to a model provider such as Anthropic, or to other models through OpenRouter.
- Supabase hosts the database that holds the free-use counters, the payment ledger and early-access requests.
- Stripe processes payments. Stripe's checkout pages are on Stripe's own website and use Stripe's own cookies, for example for fraud prevention.
These providers act on our instructions under their data-processing terms. We do not sell personal data, and we do not use it for advertising.
International transfers
Some of these providers are based in, or process data in, the United States or other countries outside the UK. Where personal data leaves the UK, the transfer is covered by UK adequacy regulations, including the UK–US data bridge where the provider is certified, or by the provider's standard contractual clauses with the UK Addendum.
Your rights
You can ask us for a copy of your personal data, and ask us to correct it, delete it, restrict how we use it or transfer it. You can also object to our use of it. Because ProposalForge has no accounts and keeps so little, we may need details from you, such as the date and time you used the service, to find anything. Email info@pharoahtechnology.co.uk. We will reply within one month.
If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.
Cookies and browser storage
We don't set cookies for visitors. A paid licence is kept in your browser's local storage, as described above. Pharoah staff use one functional cookie, pharoah_owner, to switch on owner access; it is never set for visitors.
Children
ProposalForge is intended for adults and businesses. It is not directed at children.
Changes
If we change how ProposalForge handles personal data, we will update this notice and the date at the top.
